Terms of Service

Terms of Service: Booking Terms and Conditions for Travel Services
Diaspora Journeys Travel LLC

Effective Date: July 1, 2026 | Last Updated: July 19, 2026

These Terms of Service govern the travel-planning and booking services provided by Diaspora Journeys Travel LLC, a Minnesota limited liability company. By requesting a quotation, submitting a booking form, executing a payment, or otherwise utilizing our professional services, you agree to be bound by these Terms. Travelers are advised to read this document carefully prior to finalizing any bookings.

1. Who We Are — Our Role as Your Travel Agent
Diaspora Journeys Travel LLC operates exclusively as an independent retail travel agency. Travel arrangements are facilitated either through self-service bookings via the online engine provided on our website by our air-ticketing partner, GTT Global, or through personalized assistance wherein we collect traveler details, verify credentials, and process authorized booking forms on your behalf. In all instances, our role is strictly limited to acting as an intermediary and booking agent between the client and the third-party service providers, hereafter referred to as "Suppliers," which include airlines, consolidators, hotels, tour operators, cruise lines, ground transportation companies, insurers, and destination service providers. We do not own, operate, manage, or control any of these independent Suppliers; consequently, they do not constitute agents or employees of Diaspora Journeys Travel LLC.

2. Scope of Services
Depending on the specific requirements of the client, our professional services encompass personalized travel consultation, comprehensive itinerary planning, and the booking of air travel via GTT Global or other contracted travel suppliers. Furthermore, we arrange accommodations, tours, transfers, and group or faith-community travel coordination, including the management of hotel group blocks and curated heritage, homeland-visit, or diaspora-focused itineraries. We retain absolute discretion to decline any service request, and nothing presented on our digital platforms constitutes a guaranteed offer or price until the booking is explicitly confirmed in writing and paid in full.

3. Accuracy of Traveler Information
The client bears sole responsibility for providing complete and precise details, including the exact spelling of all traveler names as they appear on valid passports or government-issued identification, alongside correct dates of birth and contact information. Because airlines and alternative Suppliers strictly enforce identity verification, data errors may result in substantial modification fees or total denial of boarding. Any penalties, fees, or losses arising from inaccurate information remain the exclusive financial responsibility of the traveler.

4. Pricing, Professional Fees, and Surcharges
All prices are established by the independent Suppliers and remain subject to change until the reservation is fully paid, ticketed, and officially confirmed. Initial quotes represent estimates rather than final pricing. In addition to direct Supplier costs, Diaspora Journeys Travel LLC reserves the right to assess professional service fees for planning, booking, modifications, or cancellations; any such fees will be disclosed beforehand and are non-refundable once work commences. Furthermore, clients are responsible for all applicable government taxes, airport fees, and Supplier-imposed surcharges, which may not be reflected in preliminary estimates.

5. Payment Terms and Processing
Payment structures, deposit amounts, and strict deadlines are dictated entirely by the respective Suppliers and will be communicated at the time of reservation. Failure to meet these specified payment windows may result in the automatic cancellation of the booking, forfeiture of deposits, and subsequent fare increases. Payments executed through the website's online booking engine are processed directly by GTT Global and its designated financial processors. For bookings managed personally by our staff, clients must complete a credit card authorization form to allow secure transmission to the Supplier. We handle all sensitive financial data using reasonable security protocols and request that clients utilize our secure transmission methods rather than unencrypted email.

6. Precedence of Supplier Terms
Every travel booking is fundamentally governed by the distinct terms, conditions, contracts of carriage, and operational policies of the specific Suppliers delivering the services. These independent regulations control all aspects of the travel experience, including baggage allowances, schedule disruptions, seat assignments, cancellations, and refunds. When utilizing the online booking engine, transactions occur directly with GTT Global or the selected carrier, meaning their individual rules supersede our agency guidelines. Diaspora Journeys Travel LLC provides access to these platforms as a convenience and disclaims any responsibility for their performance, availability, or pricing structures.

7. Amendments, Cancellations, and Refund Policies
The eligibility of a reservation for modifications or refunds is determined solely by the fare rules and policies established by the respective Suppliers, many of whom enforce strict non-refundable policies for airline tickets and tour packages. While our agency will dutifully submit amendment or cancellation requests on your behalf and convey the official responses, we possess no authority to override or waive Supplier rules. The distribution and timing of any due refunds are managed entirely by the performing Supplier, and any service fees earned by Diaspora Journeys Travel LLC remain completely non-refundable.

8. Passports, Visas, and International Entry Requirements
Travelers assume full, exclusive responsibility for securing and maintaining valid passports, appropriate visas, and all necessary documentation required for international departure, transit, entry, and return. Passports must comply with the validity mandates of the destination nations, which frequently require an expiration date at least six months beyond the conclusion of the itinerary. Given that rules fluctuate based on citizenship and nationality, clients—particularly diaspora, green card, or refugee travel document holders—must independently verify current government entry restrictions early in the planning process, as our agency cannot guarantee entry or accept liability for deportations, boarding denials, or associated financial losses.

9. Health Protocols, Vaccinations, and Travel Advisories
It is the direct responsibility of the traveler to satisfy all health, testing, and vaccination mandates required by the destination jurisdictions, as well as to review relevant government travel advisories. Diaspora Journeys Travel LLC does not act as a medical or safety advisor and provides no guarantees regarding the safety, health conditions, or security environment of any travel destination.

10. Travel Insurance Recommendation
We strongly advise all clients to procure comprehensive travel insurance policies to safeguard against unforeseen disruptions, including trip cancellations, medical emergencies, emergency medical evacuations, and lost or delayed baggage. Travel inherently involves financial risks that are not covered under these Terms or standard Supplier rules; consequently, clients who choose to decline insurance explicitly assume full accountability for any subsequent financial losses.

11. Limitation of Liability and Legal Disclaimer
To the maximum extent permitted by applicable law, Diaspora Journeys Travel LLC disclaims all liability for any acts, omissions, errors, representations, warranties, breaches, or negligence committed by independent Suppliers, including any resulting personal injury, illness, death, property damage, delays, or additional expenses. This disclaimer encompasses events such as Supplier insolvency, overbooking, schedule alterations, mechanical failures, adverse weather, labor strikes, and government actions. Our total aggregate liability for any legitimate claim arising out of our services shall not exceed the specific professional service fees paid directly to us for the underlying booking, and we explicitly exclude liability for any indirect, incidental, special, or consequential damages. All services are rendered on an "as-is" basis without express or implied warranties.

12. Force Majeure
Diaspora Journeys Travel LLC shall not be held responsible or legally liable for any performance failures, modifications, or delays resulting from circumstances beyond our reasonable control. These events include, but are not limited to, natural disasters, severe weather conditions, epidemics, pandemics, acts of war, civil unrest, terrorism, labor strikes, government mandates, border closures, or systemic Supplier failures.

13. Indemnification Agreement
By utilizing our services, you agree to indemnify, defend, and hold harmless Diaspora Journeys Travel LLC, along with its owners, members, and corporate staff, from and against any claims, financial losses, damages, liabilities, or expenses, including reasonable legal fees, arising from your travel behavior, your violation of these Terms or individual Supplier policies, or any inaccurate data provided during the booking process.

14. Dispute Resolution and Complaint Procedures
In the event that an issue arises during the course of travel, clients must immediately report the grievance to the local Supplier on-site and preserve all relevant documentation. Additionally, clients should promptly notify our agency so that we may offer assistance. Any formal claims or complaints must be submitted to us in writing within a reasonable timeframe following the conclusion of the itinerary.

15. Governing Law and Jurisdiction
These Terms of Service are governed by, interpreted, and enforced in accordance with the laws of the State of Minnesota, without regard to its conflict-of-law principles. Any legal disputes or actions arising out of these terms must be resolved exclusively within the state or federal courts located within Minnesota, and you hereby consent to the personal jurisdiction and venue of such courts.

16. Regional Seller of Travel Registrations
While the State of Minnesota does not mandate formal registration for travel sellers, certain jurisdictions—including California, Florida, Hawaii, Washington, and Iowa—enforce strict Seller of Travel regulations based on the residency of the consumer. Travelers residing within these specific states acknowledge that additional localized disclosures or distinct registration protocols may apply to their bookings depending on applicable state statutes.

17. Modifications to the Terms of Service
We reserve the right to modify, amend, or update these Terms of Service at our discretion. The specific version of the Terms in effect at the exact time a booking is executed will govern that transaction. The most current and applicable iteration of these terms is systematically maintained and available for review on our official website at diasporajourneys.us.

18. Corporate Contact Information
For inquiries, communications, or formal notices, Diaspora Journeys Travel LLC can be contacted via email at [email protected], by telephone at (612) 723-4760, or by visiting our primary digital domain at diasporajourneys.us.
